Accounts / Administrative Assistant

The Accounts/Administrative Assistant is responsible for functions related to accounts payable, accounts receivable, petty cash, invoicing, banking and general accounting procedures and file maintenance.
The Accounts /Administrative Assistant is administratively accountable to the Executive Director and functionally accountable to the Company Accountant. By the vantage position of this role, the holder will work closely with the Office Driver/Clerk the Receptionist and the consultants (internal relationships) as well as clients, suppliers/vendors, government offices and other stakeholders.
Essential Duties and Responsibilities
Correctly and timely Enters invoices in the systemPrepares Payment vouchers for vendors, facilities and utilities in a timely mannerMaintains back up folders for all transactions in the business including essential documentsPrepares and dispatches invoices to clients in a timely mannerCollection of debts and withholding tax certificates as may be applicableWeekly production of cost and revenue reportsTimely Preparation of monthly VAT returns(by 5th of every month)Preparation of consultants withholding tax certificatesFile management maintenanceBack up for other office staffMaintenance and custody of all accounting recordsProposal writing and related documentationAny other work as will be appropriateKCSE certificate with C in English and MathematicsCPA 1Must be proficient in the use of Ms Office suite of packages.Good command of English and Kiswahili languagesValid/current certificate of good conductWorking knowledge of Accounting packages including QuickBooksDemonstrates initiative and self starter attitude Punctual reliable and consistent Is approachable, positive, friendly, and has a pro-active customer service philosophyMultitasks and has strong organizational skills Has a strong aptitude for retention of detailed information and can accurately explain this information to othersEnjoys working as part of a team, but is equally comfortable working independently General pleasant demeanor and highly developed interpersonal skills Interested candidates should send their applications with their resumes to info@selwoodconsultants.co.ke on or before 25th October 2013.
