Our Rural Entrepreneur Access Project (REAP) replaces aid with sustainable income and helps women to graduate from extreme poverty by giving them the tools they need to start small businesses in their communities. With this new and diversified source of income, they can feed their families, pay for school fees and medical care, accumulate savings for long-term stability, survive drought and adapt to a changing climate.

JOB SUMMARY:


The People Operations Assistant position is responsible for supporting with administrative tasks within the People Operations Department within BOMA’s programmes and operations.


DUTIES AND RESPONSIBILITIES


HR ADMINISTRATION



  1. Receive documentation for new staff and ensure all placement documents are submitted for compliance.

  2. Support pre-boarding & onboarding of new staff by ensuring they are properly set up as per the onboarding checklist i.e. work tools and internal systems, branded welcome kit etc.

  3. Support in coordinating onboarding sessions for new staff including the 60-90 days onboarding checks.

  4. Maintain and update employee records/files; both on hard and soft copies and ensure the master employee register is always accurate and updated.

  5. Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

  6. Support in coordinating employee confirmations and renewal of contracts ensuring they are up to date.

  7. Process leave applications in coordination with Cluster Office Admins while updating the master leave register.

  8. Support in ensuring timely inclusion and removal of employees in various employee benefits.

  9. Assist with the recruitment process by, shortlisting candidates, scheduling interviews & performing reference checks as guided.

  10. Assist in addressing employees concerns and escalate where need be.

  11. Assists in the co-ordination of staff welfare initiatives and HR Projects as guided.

  12. Support in offboarding process of staff as guided by ensuring staff have successfully cleared and all exit documents are properly filed.

  13. Assist with the day-to-day HR operations


EDUCATIONAL REQUIREMENTS:



  • Higher Diploma in Human Resource Management or CHRP (at least up to Part 2)

  • Bachelor’s Degree in Business with a focus on HR is an added advantage

  • Member of IHRM


MINIMUM REQUIRED EXPERIENCE:



  • At least Three (3) Years in a similar position.


REQUIRED COMPETENCIES:



  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.

  • Excellent organizational skills and attention to detail.

  • Proficient with Microsoft Office Suite or related software.

  • Sound core knowledge of applicable labour laws legislation

  • Ability to work under pressure, meet deadlines and work in a fast-paced environment

  • Willingness to travel from time to time
