The African Institute for Development Policy (AFIDEP) is an African-led, regional non-profit policy think tank established in 2010 to help bridge the gaps between research, policy and practice in development efforts in Africa. We analyse, synthesise, and translate evidence (i.e. data and research) and use it to generate or strengthen political commitment, inform resource allocation, programme design and implementation. The aim is to contribute to the realisation of sustainable development by enabling the formulation of sound policies and programme interventions.
Summary
AFIDEP seeks highly qualified and self-motivated individuals to fill the position of Human Resources Assistant for its Malawi and Kenya Offices. Reporting to the Human Resource Manager, the Human Resources Assistants will support the implementation of all HR strategies, programs, and operations, ensuring process effectiveness and efficiency to enable the attainment of AFIDEP’s mission.
Key Responsibilities
- Supporting the HR Manager and Officers during recruitment processes.
- Coordinate orientation and onboarding programs for new staff.
- Offer routine HR support, advice, and guidance to staff and assist teams to adhere to set policies, procedures, and work standards.
- Organize staff meetings and related events and activities such as training sessions, workshops, team-building activities, and staff official travel among others.
- Closely liaise with the Finance team to ensure efficient administration of the monthly payroll and support staff and in optimizing the use of the HRMIS.
- Process enrollments, changes, and terminations of membership in medical and pension benefit plans and programs as applicable.
- Administer the staff leave register, conduct staff work-time analyses, and reporting.
- Maintain proper HR records and databases and perform periodic file and database audits.
- Assist in timesheet training and management and performance review management.
- Support employment separation processes by assisting exiting staff in smooth clearance.
- Any other duties as assigned by authorities from time to time.
Qualifications, Skills and Competencies
- A Bachelor’s degree in Human Resources Management or Organizational Development or related fields;
- At least 2 years experience in a human resources role, preferably in an NGO set-up, multi-cultural, multi-racial, multi-ethnic environment;
- Strong Human Resources knowledge base and good people skills;
- Policy interpretation and implementation ability;
- Basic knowledge and understanding of relevant labour laws, employee relations practices and HR legal requirements.
- Analytical, critical thinking, logical and systematic thinking;
- Adapt influencing, negotiating, relationship building and networking skills;
- Strong communication and interpersonal skills;
- Hands-on individual, with personal drive and ability to respond to issues efficiently;
- Ability to work as a part of a diversified multi-cultural and multi-functional team;
- Exceptional IT skills and HR Information Systems (HRIS) knowledge;
- Formal affiliation with the relevant HR professional body in the country office.
