Office Administrator – FMCG

Location: Nairobi
Our client, an FMCG distributions company specializing in supply of beauty products & household products is seeking a Sales Agent.
Duties & Responsibilities
Accounts
- Data entry/Bookkeeping
- Keep the ledgers up to date
- Ensure proper filing of all accounting documents and records
- Prepare the following monthly reports; Sales report, Bank reconciliations, Receivables and Payables, reports, Management accounts
- Maintenance of the company bank accounts and general banking
- Manage petty cash and general company cash flow
- Safe keeping of petty cash, cheque books and other sensitive accounting items secretly
- Receivables collections and payables planning
- Manage statutory payments; NHIF, NSSF, PAYE, VAT
- Prepare annual financial statements
Customer Service
- Support sales teams in ensuring client satisfaction
- Ensure client orders and worked on within timelines and the best service offered
- Receiving and directing office visitors or inquiries
- Answer telephone enquiries from customers
- Resolve customer queries and complaints as received
Admin, Stores and Inventory
- Operate a range of office machines such as computers and printers
- File and maintain office documents
- Keep office staff attendance records
- Draft business documents, reports, office memos and letters using MS. office Word, Excel, PowerPoint,
- Support implementation of administrative policies and procedures
- Oversee data capturing on vehicle mileage and use
- sort and distribute incoming mail to areas and staff within the organization and dispatch outgoing mail
- Any other related tasks as assigned from time to time
- Manage office supplies and stores
- Office inventory management including overseeing outgoing and incoming goods, keeping records of inventory, requisitioning for stocks, ensuring sales team get customer products as ordered
The Successful Candidate MUST meet the following Requirements:
- At least a Diploma in Business with at least a CPA IV
- At least 3 years office administrative experience
- Experience in an FMCG distribution environment an advantage
- Able to prioritize and work well under pressure to meet strict deadlines
- Ability to multi task, working on several assignments at any one time
- Quality focused and organized
- Flexible with working hours to ensure deadlines are met.
- Possess excellent oral and written communication skills
- Excellent working knowledge of Computers, Microsoft Office applications and Internet use
- Well groomed
