Job Profile: Procurement Officer – Imports
Our client is a leading Oil & Gas company in the African region, they are seeking to have on board a competent Procurement Officer-Imports to support their expansion strategy and maintain efficient and effective services for their clients. The job incumbent is expected to manage the procurement process for imports and exports.
Region: Nairobi
Reports to: Procurement Manager
Overall Objective
Primarily responsible for the job incumbent will be sourcing and evaluating suppliers, products, and services, as well as negotiating contracts to ensure that approved purchases are cost efficient and of high quality as per the procurement SOP, compliant with procurement procedures and overall Management reports.
Responsibilities
- Sourcing of overseas suppliers, local clearing agents and proactively following up on delivery of imported goods.
- Creating of imports purchase orders, adhering to the relevant procurement procedures, and attaching all supporting document.
- Sending of purchase orders to the suppliers once they have been approved.
- Maintain records of purchases, pricing, approvals for all shipments ensuring compliance to the laid down customs rules and regulations.
- Tracking shipments, issuing shipping schedules to ensure delivery times and locations are co-ordinated
- Ensuring the efficiency and effectiveness of imports/exportsprocess and procedures ensuring that all records are filed for record keeping
- Liaising with the Warehouse and other relevant departments to determine items to order.
- Assist in preparation of Imports declaration form, Insurance Covers both for sea and Air shipments.
- Liaising with Clearing Agents on cargo clearance with Customs and expedite inspection of goods received.
- Notifying Suppliers on short-shipped, over supplies and faulty items received and taking the necessary action.
Qualifications
- Bachelor’s Degree in business related studies: purchasing and supplies option preferred.
- Diploma in clearing and forwarding would be an added advantage.
- 3 Years’ experience in Import – Sea and Air freight
- Minimum 3 years’ experience in a similar role
- Knowledge of customs regulations & international customs requirements
- Experience in handling clearing & forwarding, costing of landed items and dealings with insurance companies for shipments and customs.
- Proven track record of successful performance in a similar role in a big organization.
- Experience in identifying vendors, KYC, sourcing, and vendor performance management.
- Commercially sound and good with numbers
- Good organization and communication skills, critical thinking as well as strong analytical skills
- Planning and time management skills, strong negotiation skills as well as strong business ethics
- Supplier/vender relationship management
- Flexibility/adaptability
- Personal quality: reliability & attention to details
