Purpose
This position will be responsible for providing office and administrative support to ensure the smooth operation of our office in Nairobi while providing backstopping support to our UK office. This is a 6-month initial contract with the possibility of extension depending on satisfactory performance.
Responsibilities
The responsibilities of the Office and Administrative Assistant will cover the following areas, with responsibilities growing as capacity develops:
· Manage the day-to-day running of the office, including raising invoices and making payments, ordering office supplies, maintaining a clear filing system;
· Provide logistical support for staff and consultants, including booking flights and hotels, and processing visa applications;
· Schedule external meetings with clients and consultants;
· Provide logistical support for meetings, conferences and workshops held by Pathways;
· Answer calls and respond to general enquiries;
· General maintenance of the premises to ensure a healthy working environment;
· Maintain regular communication with the UK Head Office, providing support as required;
· Undertake other office and administrative activities as and when they arise.
Person Specification
The Administrative Assistant should have the following qualifications:
- A degree in Business Administration/Management, Secretarial Studies and or HR, or related field;
- A minimum of 3 years in Administration Assistant role with Organisational Management skills;
- Excellent interpersonal skills, with the ability to communicate appropriately and professionally with people at all levels;
- Fluency in written and spoken English;
- Excellent time management skills, with the ability to work under pressure and prioritise tasks;
- Excellent numeracy skills;
- Excellent IT skills; proficient in the use of MS Office (particularly Outlook, Word, Excel, PowerPoint and SharePoint), with excellent typing skills;
- Strong team player, with the ability to work independently with little supervision.
