Human Resources Generalist




 
Job Summary:
Manage the Performance Management (PM) system, ensuring that all staff are trained on how to use it and understand its benefits.  



Take lead and become the Company’s ambassador fostering a culture of learning and development.



To provide accurate & timely processing of company payroll by calculating wages and making appropriate deductions. 



 
Help to achieve the HR goals and strategy by working closely with the HR team.

Key Duties and Tasks:
 




Performance Management


  • Train all staff on how to use the Performance Management system, clearly explaining the employee‘s role and the role of the manager.

  • Manage the whole Performance Management process and ensure that all staff meet the set timelines set by AFEX.

  • Put together the AFEX Staff Development Plan (SDP) based on the training needs in the PM Form filled by all staff, discussions with department heads and the business and HR strategy.

  • Focus on targeted, achievable development solutions that improve the employee including putting in place a mentorship program.

  • Be creative in identifying the training solutions for staff development including options such as, on the job training, job enrichment, shadowing and job exchanges.

  • Plan and cost the AFEX SDP.

  • Liaise with the line managers in development and delivery of training.

  • Source and work with external trainers to target staff development.

  • Develop effective evaluation of development activities to measure improvement after the training.

  • Maintain monthly basis updated training records.

  • Plan calendared training activities for each month.


Payroll Management


  • Updating and maintaining payroll records.

  • Liaising with staff and management on payroll related queries.

  • Calculating annual leave & leave provisions / accruals.

  • Process all muster rolls to calculate salaries due.

  • Prepare the payroll for all staff using SAGE payroll system and create pay slips.

  • Ensure timely processing, payment and filing of returns of PAYE, NHIF and NSSF in Kenya and PIT in RSS.

  • Advise HR Manager, Financial Controller & Chief Financial Officer of any irregularities or discrepancies and recommend any corrective action.

  • Assist with processing of terminations, calculation of final benefits, administration and recordkeeping.

  • Perform payroll / benefit-related reconciliations to General Ledger and other accounts.

  • Update HR spreadsheet with employee change requests and process paperwork.

  • Maintain staff leave schedules and sick leave records;

  • Processing of employee claims including travel and incidental costs.

  • Responsible for a comprehensive and efficient medical cover for all employees.

  • Keep information confidential and maintain a positive culture that allows for open two way communication and build staff morale.

  • To understand the AFEX requirement for QHSE in the workplace including employee and team responsibilities, to ensure continuous adherence to QHSE policies, procedures and work instructions and to proactively promote a quality, health and safety approach in all areas of your work.

  • Work in full accordance with AFEX Group policies, procedures, work instructions and all relevant elements of AFEX Management Systems.


Education, Skills & Experience:


  • A degree in Human Resources.

  • A member of IHRM

  • 3 – 5 years’ experience in a similar job.

  • Must have SAGE training with financial background.

  • Professional qualifications will be an added advantage.

  • A good understanding of payroll legislation and processes.

  • Excellent IT skills and fluent in Excel.

  • Excellent communication skills.

  • Numerical ability & data entry skills.

  • Ability to work to strict deadlines with attention to details.

  • A team player with respect and integrity.
