Operations & Admin Supervisor

Our client specializing in trading & retail of luxury goods, Imports and Exports is seeking an Operations and Administration supervisor.
Job Profile: You will supervise and coordinate office operations in ensuring day to day operations are aligned to company strategy and goals.
Reports to: Chief Operating Officer (COO) and works closely with all departments
Supervises: Admin team, Accounts team, Sales team, IT team, Logistics team
Administrative & Office Management roles
- Monitoring, Managing and following up on general operations of the company.
- Implementation of various policies and procedures
- Supervising and monitoring staff in departments
- Supervise reporting and submission of accurate and timely reports by staff
- Coordinate activities across different departments and operations
- Manage office documentation
- Work with HR in managing workforce needs, onboarding, training and performance management
- Manage acquisition of business permits, contracts and warranties
- Maintain an updated listing of 3rd Party service providers
- Manage Insurance Policies and Broker details
- Monitor projects (Provide workforce and resources required at the right time)
- Manage lease agreements, office supplies, administer office resources to staff
- Timely acquisition and renewal of Licenses
- Timely acquisition of clearance/passes for staff working at the airport retail stores
- Work with suppliers in ensuring office needs are met
IT Supervision
- Ensure monitoring of Internet and Network Operations
- Ensure staff are allocated computers and necessary computer needs
- Manage IT Computerization system (Retail management System) RMS and Quick Books (Manage issuance of privileges to different users in the company)
- Organize training and Development for staff on Retail Management System (RMS) Operations.
Procurement & Logistics Management
- Implement transport and logistics policies and procedures
- Appraise and select suppliers
- Monitor warehouse operations
- Provide administrative support to Imports and Exports operations
- Oversee procurement and delivery of goods effectively and efficiently
- Track shipments, shipment clearance and deliveries
- Inventory management and stock levels control
- Fleet management (Mileage, fueling, use and maintenance of vehicles, insurance, inspections & managing drivers)
Requirements & Qualifications
- Bachelors degree in Business Management or related
- At least 5 years work experience
- Possess excellent supervisory and team management skills (Must have management experience)
- A mix of Administrative, sharp IT skills & Logistics experience an advantage
- Understanding of import and export business an advantage
- Keen to detail
- All rounded and Self-driven with people skills
- Able to plan and organize as an individual as well as organize teams
- Excellent oral and written communication skills
- Sharp computer skills
- Mature and well organized
- Must have a driving license
