Job Title: Administrative Assistant
Work Location: School Based
Reports To: School Principal
Responsible For: Finance Assistance and support staff
Job Purpose: Administrative and clerical support activities for the school to facilitate the efficient operation of the organization.

Main Duties and Responsibilities:
- Performing basic accounting functions e.g. recording, classifying and summarizing business transactions
- Make and answer phone calls
- Receive and direct visitors and clients
- General clerical duties including photocopying, fax and mailing
- Maintain electronic and hard copy filing system
- Retrieve documents from filing system
- Handle requests for information and data
- Resolve administrative problems and inquiries
- Prepare written responses to routine enquiries
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Schedule and coordinate meetings, appointments and travel arrangements for supervisors, teachers or students
- Prepare agendas for meetings and prepare schedules
- Record, compile, transcribe and distribute minutes of meetings
- Open, sort and distribute incoming correspondence
- Maintain school supply inventories
- Coordinate maintain school premises, building and equipment
- Coordinate and maintain records for staff, telephones, and petty cash
Education / Qualifications
Essential
- Educated to KCSE level with a minimum of C in Maths and English
- High level of IT skills with experience of MS Office and finance programs, specifically QuickBooks.
- Knowledge of basic accounting procedures
Preferred
- CPA I or equivalent related professional qualification
Experience
Essential
- 2 years’ experience of work in a busy environment
Preferred
- 1 year’s experience of working in a school/educational environment
- Previous experience of Book keeping and accounting
- Experience of managing budgets, supplies and procurement, assets and financial reporting
Skills / Knowledge / Aptitude

- Knowledge of operation of standard office equipment.
- Knowledge of clerical and administrative procedures and systems such as filing and record keeping and data management.
- Time management skills and the ability to prioritize work.
- Attention to detail and good numeracy skills.

- Excellent communication skills – verbal and written
