Kimetrica is seeking a full time Operations Manager for its Nairobi, Kenya Regional Office.
Kimetrica is an international company with a diverse and highly skilled staff, ranging from software developers to economists to subject specialists in project and disaster risk management.
The position ensures that we can successfully implement an increasing portfolio of large and sometimes complex projects.
The ideal candidate will have several years of experience managing complex office and field operations in East Africa.
We seek a scrupulous individual with high integrity who can ensure that our core operations are timely, safe, cost-efficient and compliant with the relevant laws, regulations and internal procedures.
The Operations Manager will report directly to the COO.
The position’s responsibilities include the following:
Management and Supervision of Operations
- Provide leadership to administrative staff working in Kenya, Ethiopia and South Sudan, including direct supervision, mentoring, and training in operational functions.
- Participate in senior management meetings, providing strategic vision, counsel and guidance on operational and administrative issues.
- Manage the registration and set-up of new offices.
- Ensure business compliance, liaising with company lawyers.
- Liaise with company lawyers on claims, liabilities and lawsuits, as necessary.
- Develop Kimetrica corporate strategies and guidance relating to operations.
- Work to continuously improve operational efficiency, cost control, and business automation.
Facilities Management
- Manage all aspects of Kimetrica’s office facilities, including security policies, plans and access controls to ensure the safety of staff and assets.
- Oversee the running of all office facilities, ensuring they are safe, comfortable and conducive to productivity and creativity.
Procurement and Inventory
- Oversee procurement, ensuring timely, cost-efficient and compliant purchasing.
- Oversee the management of all inventory, ensuring proper tracking of all Kimetrica and project assets.
- Lead all major procurements and support the contracting process for major contracts and sub-contracts.
Travel Management
- Oversee Kimetrica’s travel services, including international and domestic staff mobility.
- Oversee travel authorizations and travel expense claim processes.
- Ensure security of Kimetrica travelers, including the issuance of travel insurance.
- Oversee visa, work permit and other statutory travel and work documentation.
Project Support
- Provide administrative support to projects, specifically in opening and project files and subdirectories in Kimetrica’s corporate file management system.
- Manage administrative staff support services to project managers.
Qualifications:
- Bachelor’s Degree or Certificate in a Business / Management or equivalent; or 7-10 years related experience and/or training; or equivalent combination of education and training
- MBA preferred
- Excellent IT skills and familiarity with cloud computing and ERP systems
- Experience in office management, including staff management and the oversight of corporate policies and procedures.
- Strong knowledge of business practices and primary risks in East Africa, particularly Kenya
- Strong supervisory and leadership skills are a must.
- Highly organized, self-motivated, with the ability to prioritize and handle a variety of tasks simultaneously to meet various deadlines
- Willingness to travel internationally including to “hardship” locations
- Ideally, knowledge of US Government contracting regulations
