They seek to hire a Personal Assistant to the MDDuties & ResponsibilitiesProvide an efficient and responsive administrative and logistical service to the MDHandling very sensitive/ confidential security matters for the MDAssisting the MD to manage and prioritize timeAccompanying the MD to meetings and flying out on official assignmentsManage travel logistics including air and hotel bookings, online checking in, transport, travel documents, visa applications, passport renewals, travel insurance etc. Preparing and editing correspondence, reports, statements and presentationsProviding quality customer serviceManage and maintain the Managing Director’s diary and email accountMaintains MD’s diary, planning calendar to ensure all calendars are synchronized.Ensure that the MD receives necessary background information on all matters he handlesEnsure all MD activities are effectively and efficiently organized Prepare daily reports on the activities handledSchedule appointments for the MDAdministrative duties at the busy establishmentDrafting various correspondence to concerned parties on behalf of the MDEnsure guests meeting with the MD are well taken care of and assisting them appropriatelyEfficient communication and follow up on issues that requires interdepartmental coordination by engaging actively with the various heads of departmentsConduct weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requestsSchedule on behalf of the MD meetings between him and his direct reports and the committees or groups to which he is a memberMinute general meetings as required and complete research on behalf of the MDTraining office attendants and monitoring their performance and ensuring general cleanliness of the officeLight housekeeping; Gift-buying, Pick-ups, Coordinating laundry, Running personal errands, Arranging meals, Dinner reservations etcDegree or Diploma in Business or related studiesMinimum of 4 years as a PA to an MD/ GM or CEOAge preferred 32 years and aboveFirm and tough personality Ability to communicate with MD/ CEO level individualsExceptional skills in the areas of judgment, organizational skills, diplomacy, discretion Proficiency with a variety of computer software applications Initiative and ability to work independentlyAbility to make sound judgment and handle difficult situations with clientsGood command of the English language and communication skills (oral and written)More importantly, is a team player and willing to learn.If you are up to the challenge, posses the necessary qualification and experience, please send your CV only quoting the job title on the email subject (High level PA to MD Kshs 70- 100K Gross) to jobs@corporatestaffing.co.ke before 21st October, 2014
