HRIS Officer (Nairobi)
This position requires solid organizational and analytical skills, with a focus on accuracy and attention to detail. Strong proficiency in at least one HR or payroll system and in MS Office, especially Excel, is required.
The position will work under the direction and supervision of the HRIS Compensation & Benefits Analyst, also based in Nairobi.
Responsibilities:Provide first and second line support to country program HR users of Workday, using the ServiceNow service management system, to the agreed service levels and turnaround timesEscalate support issues to other designated HRIS team members, for specialized resolution and quality assuranceManage Workday account creation for country program users, taking security structures and data access into account, and ensure that HRIS procedures are being followed in providing access to WorkdayProvide timely, concise, clear and helpful updates to Workday users on the status of their requestsPerform routine scheduled audits of data, access permissions, reports usage, transaction volumes, incomplete processes and transactions, and other required indicators, and record the audit information comprehensively in a dashboard report accessed by senior stakeholders (sustainability dashboard)Ensure that Workday data is being used by country program HR teams to drive their payroll cycles, and compare Workday data with payroll data to measure adherenceEnsure that Workday data is being used as an input to Global HR Metrics and other report requestsProvide ad hoc and scheduled training to Workday users, both on a one-to-one basis and in group settings, using tools such as WebEx or in personDevelop and update standard operating procedures, training materials and testing materialsProactively identify gaps, opportunities and improvements to Workday processes, reports and dashboards, and collaborate with HRIS colleagues in making the agreed changesCollaborate with HRIS colleagues to prepare for and test the semi-annual Workday upgrade, and communicate with Workday users on the impact of the upgradeOccasionally assist in the administration of day-to-day transactions in Workday as neededMotivate HR teams and be firm on expectations in using Workday optimally and in keeping staff data up-to-datePerform other special projects as neededQualificationsBachelor’s degree requiredAdvanced degree preferred with at least five years progressive HR or HRIS experience in a multi-cultural, multi-location organizationPrior HRIS analyst experience or similar is desirable3 plus years of experience navigating and using packaged software or custom developed applications and tools requiredExperience in preparing and analyzing information reports requiredExperience in working on projects requiredStrong proficiency in MS Office (Word, Excel, Outlook, PowerPoint, Access); Excel ability to create macros, pivot tables, vlookups, analytical capabilities and workbooks requiredExperience in working with a helpdesk ticketing system a plusExperience in preparing and delivering training a plus, both for one-to-one and group training deliveryExperience in using WebEx or similar tools in working with end users or in training contexts a plusStrong organizational skills are required, with a focus on accuracy and attention to detailSelf-motivated with the ability to work both independently and in a team environmentExcellent analytical, problem solving and troubleshooting abilities as well as strong data analysis acumen are requiredDemonstrated ability to work professionally and discreetly with confidential informationExcellent customer service, communication (both written and verbal), and collaboration skills requiredFlexibility in daily schedule and ability to understand and react quickly to changing prioritiesEnglish fluency required; French and/or Arabic would be helpfulPosition based in Nairobi, Kenya with 25% travel anticipated
